Red Lodge Karting Terms & Conditions
You must read and fully understand the following to confirm you are able to participate in this activity.
I am physically and mentally fit and do not have any existing medical conditions or injuries that would put me at risk in any karting activities and I am competent to do so.
I understand Motorsport/Karting is dangerous and I understand that these risks may give rise to my suffering personal injury or other loss, and to the fullest extent permitted by law I agree to indemnify and hold harmless Red Lodge Karting Ltd in respect of any personal injury, loss or damage whatsoever and howsoever arising from my participation in the karting activity.
I indemnify Red Lodge Karting Ltd in respect of all liabilities of whatever kind incurred by my recklessness, negligence or failure to carry out orders, instructions and commands of the Marshals whilst on Red Lodge Karting Ltd premises.
I will listen and understand the safety briefing given by a member of staff of Red Lodge Karting Ltd. and abide by/carry out all orders, instructions, commands from the marshals and any rules or regulations of Red Lodge Karting Ltd, and follow the NKA racing code.
I understand the use of foul language / threatening behaviour will not be tolerated and I will leave the premises of Red Lodge Karting Ltd for whatever reason when requested by the management. I understand I am responsible for the behaviour of my supporters, family and friends, and that the health & safety rules equally apply to them.
I understand I am responsible for the safe keeping of any of my goods whilst on the premises of Red Lodge Karting Ltd.
I confirm that I am wearing the appropriate closed toed shoes (no sandals, flip flops or crocs) and I will ensure long hair is tied back and tucked into race suit. I confirm I understand that RLK will provide a visual check if wearing both my own race wear and crash helmet which I am responsible for the safety of ensuring it is suitable for use on a karting track. I knowingly would not use a helmet that is unsafe, I understand a type E helmet should not be used for karting and a full-faced helmet should be used. I understand that in the event of an accident leading to admission to hospital, RLK Ltd will hold all driver equipment until I or my charge are discharged.

I will make sure my race suit is fastened properly covering the whole body; a crash helmet is worn, fastened properly with visor down and gloves will be worn. I will ensure that no scarves, dangling jewellery, fingerless gloves, bandana, high heeled shoes/boots, sandals, opened backed shoes will be worn and I will not chew gum or carry an iPod or phone whilst sitting/driving in a kart, and will not wear a GO-PRO or similar equipment unless it is with a shoulder mount. If I wear a hood attached to my top it will be tucked in.
I confirm that I will not be under the influence of any alcohol or drugs.
Full Booking Terms & Conditions

Making a “booking” with Red Lodge Karting Ltd will constitute a contract for us to deliver the agreed services to you, the customer, at the time and date and for the price agreed, and for you to take delivery of and pay for the services as agreed. Both parties must comply with these terms and conditions.
Please read the following thoroughly before finalising your booking with us.
*It is the sole responsibility of the person making this booking to communicate these Terms and Conditions including the completion of the booking registration to all other participants.
1.0 TERMS
1.1 Statutory rights: Nothing in these Terms and Conditions will affect the customer’s statutory rights. These Terms and Conditions are subject to the law of England and Wales. All disputes shall be subject to the exclusive jurisdiction of the courts.
1.2 Changes to terms: It is the intention of Red Lodge Karting that all the terms of the contract between us are contained in these Terms and Conditions and associated documents issued by us. If you wish to rely upon any variation in these terms, you should ensure that the variations are agreed in writing.
2.0 EVENTS
2.1 Activities/events: Every effort has been made to describe the activities accurately on our website and literature. However, some changes may occur from time to time. All times listed are approximate and may vary.
3.0. CATERING (If applicable)
3.1 Red Lodge Karting Ltd will use its preferred caterer for catering bookings. We calculate our charges on the basis that we will provide all food and drinks that you and your delegates require. Your delegates must not bring food or drink onto our premises to consume on-site unless written confirmation is obtained from Red Lodge Karting Ltd.
3.2 Should the client wish to use their own caterer additional costs may be incurred (e.g., marquee hire and/or pitch fee). Please discuss your requirements with your dedicated Event Coordinator to enable confirmation of additional costs, if applicable, to be prepared and sent to you. The client agrees not to make such arrangements unless so agreed by Red Lodge Karting Ltd in writing.
4.0 SAFETY
4.1 Briefing: All participants will be required to view the safety briefing video. Failure to do so will mean that the participant will not be allowed to partake in the activity and no refund will be given.
4.2 Fire assembly point: In the event of the siren sounding, please make your way immediately to the Fire Assembly point in the middle of the front car park.
4.3 Spectators/visitors: As a participant, all drivers/users of our facilities are responsible for the behaviour of their supporters, family and friends, and must sign the indemnity form on their behalf as the health & safety rules equally apply to them. Spectators are not permitted to access the circuit at any time without express permission from the management.
4.4 Drugs/alcohol: Participants must not be under the influence of drugs or alcohol before or during an activity or event. This will always result in the participant being excluded from the activities and monies paid will be non-refundable. Red Lodge Karting Ltd reserves the right to refuse a participant if they are suspicious of any alcohol or illegal drug consumption by noting the participant’s demeanour or smell of substance on their person.
4.5. Behaviour: Participants are required to behave in a manner that does not put themselves or others, including staff members, at risk. Verbal abuse and threatening behaviour towards members of staff or other members of the public will not be tolerated and perpetrators will be asked to leave the premises. Red Lodge Karting Ltd reserves the right to withdraw any participant from an activity and/or cancel an activity or event should any participant’s behaviour cause concern for the safety of others. Any participant who behaves in a way that affects the delivery of any activities or enjoyment of others anywhere on the premises, may be asked to leave and will forfeit any right to a refund whether or not the activities have been completed and will be liable for any compensation sought from Red Lodge Karting Ltd or any other parties concerned.
5.0 PAYMENTS
5.1 Red Lodge Karting Ltd is PCI Compliant.
5.2 Payment can be made by cash, cheque, debit/credit card or in advance via BACS. We do not accept American Express. We accept cheques up to the balance due date, cheques received after this date cannot be accepted. Bank Transfer – please see account details on your booking form and advise us when payment is made.
5.3 Prepaid Karting Vouchers: Red Lodge Karting Ltd accepts prepaid vouchers purchased from ourselves. Unless otherwise stated on the voucher, pre-paid vouchers are valid for karting for a period of twelve months from the date of issue. Failure to redeem within this period will result in the loss of the activity without refund. Customers are not able to cancel a voucher once purchased from Red Lodge Karting Ltd. Vouchers cannot be exchanged for cash.
5.4 Pricing: The price stated is in pounds sterling (£) and inclusive of VAT unless specified otherwise.
5.5 VAT invoice: Please contact our sales team if a VAT invoice or receipt is required.
5.6 Deposit: A deposit is required to secure the event by the given due date. Participants can pay individually, please contact our sales team to arrange this on 01638 552316.
5.7 Minimum payments: The minimum payment required for any event is determined by the number of drivers or teams attending the event (and the size of the circuit if karting). This payment is required to be paid by 21 days before your booking date.
5.8 Final balance: Any outstanding balance over the minimum required payment due is required to be paid on arrival at Red Lodge Karting Ltd on the day of the event. Corporate events can be invoiced in advance for payment due to be received by the scheduled dates given before the event date.
5.9 Refunds/cancellations at short notice: Please refer to 5.1 Cancellation Policy. Should the party reduce in numbers following payment of the deposit, the deposit will be forfeited, and no refund given for those members of the party not attending. Red Lodge Karting will always look to postpone a booking in the first instance if the customer requires to cancel their pre-booked & paid booking date.
6.0 CHANGES TO BOOKING
6.1 Cancellation policy:
• Cancellation more than 28 days prior to the event: 75% refund of monies paid
• 21-28 days before the event: 65% refund of monies paid
• 14-20 days before the event: 40% refund of monies paid
• Fewer than 14 days before the event: no refund
6.2 If the event cannot take place because of war, government regulation or anything else beyond the reasonable control of Red Lodge Karting Ltd, refunds will not automatically be due, but we will endeavour to find a suitable alternative date to suit both parties.
6.3 Increased participant numbers: Red Lodge Karting Ltd understands participant numbers may change from the time of booking. When increasing participant numbers please inform us as soon as possible, whilst we cannot guarantee spaces will be available, we will try to accommodate this change.
6.4 Decreased participant numbers: Should the party number fall to less than the minimum group size for that event format, Red Lodge Karting Ltd reserves the right to offer a substitute event. If the party or any participant decides not to partake in any part of the activities or events for any reason on the day, no refund will be given but a credit may be issued at the discretion of Red Lodge Karting Ltd.
6.5 Change of date or time: Once a booking has been made and deposit paid any changes requested will be entirely at the discretion of Red Lodge Karting Ltd. Red Lodge Karting Ltd reserves the right to change the date or format of your event if the required payment is not made by the due date.
6.6 Third-party suppliers: If the activity or catering that is arranged for your booking is unable to be supplied by the contracted third-party supplier, Red Lodge Karting Ltd will notify the customer at the earliest opportunity and attempt to arrange an alternative supplier. If rearrangement is not possible then a full refund relating to this element of the booking will be made. The rest of the karting activity will still go ahead as planned and no refund will be available.
6.7 Postponement: Red Lodge Karting reserves the right to postpone an event at any time that may fall outside the 28 days of the booking date, for example if technical difficulties make an event unsafe. Red Lodge Karting Ltd reserves the right to discontinue an activity at its own discretion and arrange a suitable alternative.
6.8 Adverse weather conditions: Our activities are offered subject to availability and weather conditions. We can operate under most weather conditions. Extreme weather conditions, however, may render an event unsafe for participants or staff. If an activity has to be postponed due to weather or safety reasons, the activity will be rescheduled on a mutually convenient date. Red Lodge Karting Ltd do not accept any responsibility for any inconvenience or expenses incurred because of this occurrence nor the inability of the participants to travel to our venue on the agreed date & time.
7.0 GENERAL
7.1 Food/Drinks on site: Red Lodge Karting provides fully catered service options for events/exclusive hire. There are vending machines onsite and The Lodge Coffee Shop (located in the car park) is usually open on weekends and school holidays. Customers are permitted to bring a picnic onsite.
7.2 Late arrival: Participants must arrive at the given start time as events cannot be extended. Late arrivals will not be permitted to participate if they miss the safety briefing and no refund will be given.
7.3 Parking: Free parking is provided by Red Lodge Karting Ltd. Please leave adequate space between vehicles. All vehicles left in the Red Lodge Karting Ltd car park and their contents in them or on them, are left at the owner’s own risk. Red Lodge Karting Ltd cannot not be held responsible for any damage incurred to a visitor’s vehicle whilst parked on site. No vehicles are permitted to be left on site overnight without prior consent. Vehicles left on site without permission will be reported to the local authorities & charged.
7.4 Personal possessions: All personal possessions always remain the responsibility of participants and guests. Red Lodge Karting Ltd accepts no responsibility for any damaged, lost or stolen items on the premises.
7.5 Dogs: Please ensure you leave your dog safely at home as Red Lodge Karting Ltd does not allow dogs on site, apart from guide or assistance dogs.
7.6 Go-Pros/cameras: There are strict regulations regarding the use of Go-Pros or similar equipment (e.g whilst driving karts). Please contact us in advance to ensure you are able to use them safely. Red Lodge Karting does not allow cameras to be attached to crash helmets or karts in any way.
7.7 Photos/media/drones: Every visitor to Red Lodge Karting Ltd attempting to take photographs of any other visitor on the premises of Red Lodge Karting Ltd must get approval and sign the ‘media signing-on form’ as soon as they arrive at the circuit to confirm they have read and understood the conditions. Any external media company must sign the pro-forma to ensure all media taken is in line with data protection guidelines. Drones are not allowed on site unless prior agreed with the Director, and the appropriate certification is shown.
7.8 Complaints: Any complaints must be reported to Red Lodge Karting Ltd at the earliest opportunity, and no later than 7 days after the incident causing complaint. It is within our interest to try to resolve any issue as soon as possible.
8.0 INSURANCE
8.1 Insurance & waiver forms: Red Lodge Karting Ltd has public liability insurance of £10 million.
8.2 Disclaimers/waivers: A disclaimer must be completed in full and signed for the activities offered. Anyone refusing to complete and sign the disclaimer will not be allowed to participate in the activity in question. Kart driving contains an element of risk and Red Lodge Karting Ltd can accept no responsibility whatsoever for injuries or loss incurred by participants or spectators. By booking with Red Lodge Karting Ltd participants understand that there is an element of risk of injury.

8.3 Young persons minimum ages:
Karting: 8 years
Clay Pigeon Shooting: 14 years
All participants under 16 years old must be accompanied by an adult who must sign the disclaimer form to give their permission for them to take part.
8.4 Exclusion of liability: Red Lodge Karting Ltd shall not be liable for the death or personal injury of the customer, participant or third party. Red Lodge Karting Ltd shall have no liability for damage to property, consequential losses or expenses suffered, which includes but is not limited to loss of anticipated earnings, profits, goodwill, reputation, business receipts or contracts, losses or expenses resulting from third party claims.
8.5 Third-party suppliers: Red Lodge Karting Ltd cannot be held responsible for any third-party organisations, or any associated contractors appointed by third party organisations. We cannot confirm booking without receiving third party liability certificates and risk assessments.
8.6 Privacy policy: We collect personal data of all participants to ensure that we have a definitive record of who has read and completed our indemnity forms prior to their being allowed to drive on the circuit. All data is secured on our premises in compliance with GDPR regulations for the safe keeping of personal information.
9.0 SANITATION
9.1 Building: All areas of the building are cleaned regularly. Hard surfaces & floors are sanitised using alcohol-based detergent (Alcohol Alkoxylate).
9.2 Equipment: Race helmets and visors are sanitised with alcohol-based sanitiser (Alcohol Ethoxylate) and put through our sanitising unit after every use. Race suits and re-usable gloves are washed using alcohol-based detergent (Alcohol Ethoxylate) after every use.
9.3 Hand sanitiser: Red Lodge Karting Ltd is equipped with hand sanitiser containing Benzyl Alcohol. Please use it.
9.4 Toilets: The toilet block is in a separate building to the rear of the site which can be accessed through the pedestrian gate to the left of the main building. Please avoid accessing the toilets via the main building. Toilet facilities are regularly inspected and cleaned.
Clay Pigeon Shoot Activity Terms & Conditions
You must not participate in this activity if any of the following apply to you:

You suffer from heart disease, high or low blood pressure or any cardiovascular problem unless controlled by the appropriate medication and/or treatment.

Breathing problems including asthma where this is not satisfactorily controlled by medication.

Epilepsy where this is not satisfactorily controlled by medication.
-
Back pain or limited movement in any joints particularly where this is made worse by exercise.
-
You are recovering from any serious injury, illness or operation.
-
You are pregnant.
-
Your eyesight, even with glasses or contact lenses is not adequate to safely see clearly over 25m.
You must read and agree to the following declaration and paragraphs below which are designed to create a legally binding relationship in return for you being allowed to enter and participate.

I understand that this activity involves some physical exertion.

Surfaces underfoot maybe uneven and there maybe natural hazards including flora, fauna and wildlife

I am not under the influence of alcohol, illegal substances or legal medication that may cause drowsiness or affect reaction time.

I understand that any protective clothing supplied must be worn always during this activity. I must wear sensible footwear with no open toed shoes.

I must follow instructions given by my instructor during the activity and take part in a safe and controlled manner. Should my conduct be deemed unsafe or unacceptable by an instructor, I will be instructed to cease the activity immediately with no refund given.

If under the age of 18 my parent/guardian has read the above and signed to confirm agreement with the declaration.

I acknowledge and accept the right of Red Lodge Karting to refuse my participation in the event.

The customer shall not receive a refund if the event does not take place because of national war, prohibitive government regulation or anything else beyond the reasonable control of Red Lodge Karting Ltd.
Room Hire Terms & Conditions
NB. This contract is between you, Red Lodge Karting and The Lodge Coffee Shop and not any other person or organisation for whom you may book rooms, meals and facilities. If booking on behalf of an organisation, you confirm you are fully authorised by that organisation to confirm this booking on its behalf. You acquire responsibility for paying all charges, including any extra charges that arise under this contract.
DEFINITIONS: ‘The Company’, the ‘Circuit’, ‘RLK’, ‘we’ or ‘us’ means Red Lodge Karting Limited. The ‘client’, ‘you’ and ‘your’ means the organisation and/or organiser responsible for the communication of and payment for the event. The ‘contract’ means the agreement between RLK and client for a specific booking.
GENERAL: Our acceptance of a booking is made solely with you and the booking may not be transferred to an agent or third party without our written agreement. We calculate our charges on the basis that we will provide all food and drinks that you and your delegates require. Your delegates must not bring food or drink onto our premises to consume on-site unless written confirmation from RLK is obtained. Smoking is strictly prohibited on-site unless in the designated external smoking areas all of which display appropriate signage. Please ask at reception if unsure of the location of the designated smoking areas.
CANCELLATION CHARGES:
ï‚·You have the right to cancel this event at any time with the following conditions being applicable

Deposit & Payments: A deposit of 50% of the room hire charge and 50% catering costs (if applicable) is required before the booking can be accepted. The balance payment for both room hire and catering charges (if applicable) must be received in full 21 days before the event date. Payment can be made by debit or credit card, cash or Bank transfer. If payment is made by the latter method, a remittance advice is required. The organiser will be asked to sign for any additional service required on the day. Additional services cannot be provided without a signature and you agree to immediately reimburse RLK as appropriate for any additions not included in the terms of the original booking.

Confirmation of Booking: RLK will confirm your booking in writing on the basis of these terms and a signed booking confirmation form. The booking confirmation form will clearly state room hire facilities and other services that have been agreed between you and RLK including numbers and charges. The organiser must sign the booking confirmation form and return it to RLK with the necessary deposit to secure the preferred date and time. If RLK does not receive the deposit payment at the time of booking you agree RLK has the right to release your booking and resell the space and facilities held.

Bookings: Once a booking has been accepted in writing, RLK will assign a dedicated Event Coordinator who will be the client’s main contact on all issues relating to their booking.

Catering: For bookings requiring catering, RLK will use its preferred caterer. Should the client wish to use their own caterer additional costs may be incurred to include but not be limited to marquee hire and/or pitch fee. Please discuss your requirements with your dedicated Event Coordinator to enable confirmation of additional costs, if applicable, to be prepared and sent to you. The client agrees not to make such arrangements unless so agreed by RLK in writing.

Emergency Procedures: Fire escape signage and firefighting apparatus must not be tampered with or covered in any way. Access to emergency exits must be kept clear at all times. Blocking of doorways or exits with equipment or tables is prohibited. In the event of an emergency, an alarm bell will sound continuously. You must evacuate the room using the emergency exits immediately. Procedures for evacuation are displayed in the rooms and you must ensure your attendees are informed of this at the opening of the event.

Insurance: RLK will not accept any responsibility for the loss or damage to any of your (or your contractor’s) property including any film video or audio-visual material or vehicles. You agree to reimburse RLK the costs of repairing any damage to its property, contents or grounds caused by any of your delegates. RLK’s insurance covers public liability claims where it is held liable. You agree to arrange insurance to ensure that you are covered for all risks (for you and your potential third parties) adequately. Third party liabilities and risk assessments must be produced in writing within one week of request by RLK.

Reduction & Other Amendments by You: Amendments to numbers and/or arrangements must be confirmed in writing to RLK no later than 72 hours before the booking date. You agree to make payment based on these amendments. Reductions in the duration or contracted value of the booking shall be subject to RLK’s cancellation policy.

Cancellation by You: If you should cancel or postpone your booking at any time prior to the event the appropriate cancellation fee will apply. Any cancellation, postponement or partial cancellation must be advised to RLK in writing.

Amendments or Cancellation by Us: Should RLK for reasons beyond its control need to make any amendments to your booking, RLK reserves the right to offer alternative facilities. RLK’s acceptance of your booking is on the understanding that circumstances beyond its control may prevent RLK from meeting its obligations at the relevant time in which case RLK will not be liable for any loss suffered by you or any third party. The customer shall not receive a refund if the event does not take place because of national war, prohibitive government regulation or anything else beyond the reasonable control of Red Lodge Karting Ltd.

Arrival/Departure: The rooms are available from the time shown on your booking form. Any extensions to the agreed period of booking may incur additional charges unless agreed in writing by RLK.
